Customer Accounts
Regular customers may be issued with a number that can be used to identify them uniquely.
When the customer buys items at the shop, they may use their client number to pay for the goods.
This section covers how Client accounts are used at the till to pay for a transaction, or pay off
money owed on their account.
During a normal transaction the customer can attempt to pay off a client account, or use it to pay
for items brought.  When this is attempted a prompt for account number is displayed:
If an account is being used as a payment method, then once the account number has been entered,
it is checked to ensure the following:
 
Customer Account exists and has not expired
 
Customer Account payment is not overdue
If this is successful, the Client Account is updated to show the new transaction.  Otherwise a
warning is displayed and the transaction is not completed.
Payment of customer accounts can also be performed at the till through the ‘Pay Account’ button.
The user is prompted for the account number, which then shows the account balance.  The user
then accepts the payment which, when entered, redisplays the new account balance.  The
sequence is as follows:
 
Press ‘More…’ whilst not in a transaction, then press the ‘Pay Account’ button.
 
Enter the account number and press ‘Enter’
 
Enter the amount that the customer is paying back and press ‘Enter’

Cash Drawer Limits
In the System Configuration Tool, two limits can be set for the amount of cash allowed in the
drawer – the warn and stop limits.
Once the amount of cash in the drawer exceeds the warning limit, a warning dialog is displayed
after every n
th
 transaction (where n is set in the System Configuration) until the operator removes
some of the cash from the cash drawer.
Once the amount of cash in the drawer exceeds the stop limit, the operator can perform no more
transactions until the operator removes some of the cash from the cash drawer.

Receipts
Receipts may be printed on a PoS printer or an A4 printer.  An option must be set showing which
printer is to be used, which is done through the Configuration Tool.  You should also configure
how often receipts are generated: always, on request, on prompt, or never.
For ‘On Request’ printing:
 
A button ‘Rcpt’ is provided which generates a receipt at end of transaction.  This button may
be pushed at any time during the transaction.  If it is pushed when the transaction completes, a
receipt is produced for the last completed transaction.
 
 
For security, only one receipt per transaction may be produced unless a manager’s password is
used.  After the button has been pressed, it cannot be used without manager password until the
next transaction begins.
For ‘On Prompt’ printing:
 
A dialog box is presented at end of transaction requesting whether a receipt is required.
 
The ‘Rcpt’ button is available, protected by manager’s password, if a receipt is required.

 “No Stock Info” Items
These items are special in that they have no stock, supplier etc.  Examples are:
 
video rental
 
dry cleaning charge
These items work in the same manner as all the others at the till.  In reports, they have a till
department, a category, are sold at a certain price, cost the store a certain amount, etc.  However,
they do not have any suppliers or stock levels.  As such, the store can never run out of them and
they can never be ordered.

Configuration
With use of the Configuration Tool, the following options within Freedom-PoS can be changed:
 
Which categories and sub-categories the items are in.
 
The Hot Keys on the till.  These keys, when pressed, sell the item that is linked to
that key.
 
How much money can be owed on a customer account, and the maximum number of
goods that can be bought in one order.
 
What is printed on the till receipts, and how often they are printed.
 
The drawer ‘warning’ and ‘stop’ levels; the amount of money that can be in the cash
drawer before a warning appears, and the amount that has to be in the drawer before
the operator is prevented from performing any more till transactions.
 
The discounts available.  This includes the name and percentage amount of the
discount, and whether a manager is needed to confirm the discount.
 
The till departments available.  This includes description and VAT group of the
department, as well as profit rate.  This is used to calculate profit for items sold via
the department key.
 
The tenders accepted at the till.  This also includes the minimum amount to allow the
tender, and the cashing fee for that particular tender.
