7. Reason Code Entry for Refund Void & VIP
In order to detail the reasons for giving Refunds, Voids and VIP transactions, a new “Reason
Code” feature has been added. The feature forces the entry of a Reason Code when a Refund.
Void or VIP is made. The type of Reason can be selected and fixed or manual entry reason code
texts can be programmed. In order to realize this function the following has been changed. It is
possible to set a Maximum of 6 Reason Codes but one of these could be Free entry, allowing an
infinite number to be entered.
Programming
1.
With this feature it is necessary to make two settings, one to determine which features
will have Reason Codes and the other to define whether the Reason Codes should be
fixed or Free Entry.
a.
Feature Selection - To set which features will have reason codes it is
necessary to EDIT the RINCS.CFG File to do this carry out from DOS
EDIT C:\RINCS.CFG on each POS Terminal. Under MISC SETTINGS -
REASON CODES it is necessary to determine the setting for
REASON=n, the setting should be as follows :-

REM SETS WHAT FUNCTIONS WILL HAVE REASON CODE ACTIVATION 1=VOIDS 2=REFUNDS
REM 4=VIP SO 6 WOULD BE REFUNDS AND VIP 7 WOULD BE ALL THREE

To set the Text for the Reason Codes a new file exists S98.TXT this file carries all user
definable text related to Reason Codes a maximum of 6 per category are allowed:-

<REASON_REFUNDS>
1,Faulty Goods
2,$FREE$
If $FREE$ is set this will mean if the selection is made on the POS the QWERTY
keyboard will display.
Operation
If the settings above are made if a Refund Void or VIP sale made a new panel will appear on
the screen, one reason must be selected, if $FREE$ is set above, Manual Entry will be an
Option. If this is selected the QWERTY keyboard will appear for entry. If a fixed reason is
selected the terminal will accept the transaction.
Reporting
A new report is available in the Report Screen called “Reasons Report” this will show all
transactions under Refund VIP or Void with the relevant Reason Codes. The report can be
taken for each Individual POS or Consolidated after “End of Day” has been taken. The
Consolidation file is reset at “Start of Day” by default. The file can also be exported at “End
of Day” by setting the Department System Flag to “Y” this means that both the Department &
Reason Files are exported.

8.  User Defined Analysis Fields
As present the Analysis fields are fixed to “Starters” “Main courses” etc it can be prohibitive
when the terminal is in the field. It is now possible to define what text is required in these
fields. This text is used for sorting on Kitchen Printer and Bill’s.
Programming
1.
As with Reason Codes a new file has been introduced C:\USR\DATA\S98.TXT. This
file contains User Definable text. In the file as shown below it is extremely important
the have the fields set as shown.

The settings are as follows :-
x,y,Field Name
where
x= Category Number 1-6
y= Sorting Type 1-3 ( i.e 1 = Food 2= Drinks 3= Other)
Field Name = The name of the Field to be displayed/printed max 14 Characters

9. Report Viewer
The purpose of the Report Viewer Feature is to allow users to view the normally printed
reports on the screen. The function is invoked by taking a report after selecting the criteria,
the terminal will prompt where the report should be produced Screen or Report Printer. As
this could lead to security issues, any report that potentially resets any data will be printed
automatically at the Report Printer.
Programming
No programming is required for this feature
Operation
1.
Any Reading Report that is normally taken at the Report Printer will now be available
“On Screen”
