Choose option 1 - Product File
OVERVIEW
A record for each item you want to sell at the terminal must be set up and maintained using this function.  All
items have a unique PLU code which the system will use to identify the product.  They may also have a unique
retail barcode which enables them to be scanned at the terminal.  The other fields form the basic product details
which are used by other functions in the terminal system including the pricing levels, dispense printer
information, and any discount or offer details.
A price flag may be set for the product, for example, non-priced, price-check or preset price.  According to the
price flag set, the server may be required to enter the price, or confirm the current price of a product when it is
registered at the terminal.
Each product is assigned a type, for example, the product may be a general product, extra, condiment, qualifier,
or dummy.  The system uses the type field to establish the processing for the item, for example, qualifier
(cooking instructions), or dummy products which form part of a condiment (set menu), or extra portions.  The
analysis field defines the category of printing for the product (usually receipts, bills and dispense printer reports),
so that items are sorted into related items on the report.  A list number may be specified for the product if it is
a condiment item, a product which requires a qualifier, or the selection of extras such as jacket potato toppings.
You can add products to the file, or change or delete existing products.  When you want to change or delete a
product, you must first locate and display the product details.  There is the opportunity to print the details for
individual products, a range of product numbers, or products associated with a particular mix and match offer
or commission group.
When the product has been added to the product file, you should allocate the item to a list (List File), or a preset
key (Preset PLUs).  You may also associate the product with a barcode (Barcode File), or a mix and match
offer (Mix and Match).

PRODUCT FILE OPTIONS
The following options are available to maintain the product file:-
A
To add a new product to the product file.  See Adding a Product below.
B
To search for the details of a particular product by barcode.  See Searching for a Product by Barcode below.
C
To change the product details currently displayed on the screen.  See Changing a Product below.
D
To delete the product details currently displayed on the screen.  See Deleting a Product below.
E
To echo (repeat) the basic details of the product currently displayed on the screen.  A new PLU code and/or
barcode can then be assigned to the item.  See Echoing a Product below.
L
To display a list of all barcodes assigned to the product currently displayed on the screen.  See Listing the
Barcodes below.
S
To search for the details of a particular product by PLU code.  See Searching for a Product by PLU Code
below.
N
To display the details of the next product held on the file.
P
To display the details of the previous product held on the file.
R
To print a report showing the product details.  See Printing the Details below.
END
To exit the function and return to the menu.
ESC
To abandon changes to the current record.
NOTE:
The system will display a warning message for the first or last product held on the file.
ADDING A PRODUCT
Press A to add a product to the file.
When you choose to add a product to the file, the fields are cleared, and you can enter the details of the new
product.

PLU Code:
Enter the product code which is the unique identifier for this product, up to eight digits.  The
last digit (0-9) will be used by the system to determine whether this product is a modified item.
Where the last digit is zero (0), the product is not used with a modifier key.  If the last digit is
1-9, the number will correspond to the appropriate modifier key.  For example, to sell the
product using modifier key 3, the last digit of the product code must be 3.
NOTE:
The maximum number of products is unlimited on the UP5700. The Max is determined by the Disk
size
Description:
Enter a description for the product, up to fifteen characters.  The description is displayed in
other maintenance functions when the product code is entered and also on the terminals when
the item is sold.  The only exception to this is if the product description is changed on a list
menu.
Barcode:
Enter a numeric code which will be used to identify this product at each terminal.  A product
may have more than one barcodes assigned to it, or none at all.  The code will normally be the
EAN number of the product’s barcode.  These numbers are usually 13 or 8 digits long, and
include a check digit, although up to 14 characters may be entered.  If less than 14 characters
are entered, the system will fill the remaining digits with zeros.  The system will also warn you
if the check digit is invalid.
NOTE:
If the barcode does not already exist on the barcode file, the system will automatically create a new
record on the barcode file.  If the barcode exists, but is already assigned to another product on the
product file, a warning will be given.  Press any key to continue.
Modifier:
The system will display the modifier code according to the product code you have entered.  A
modifier description is displayed for non-zero modifiers.  This field cannot be changed.  To
change the modifier code, you must enter a different product code before saving the new
product.
Department:
Enter a valid code to specify the department of the product.  The department name is displayed.
The department is used to classify products for sales analysis reporting.  Please note that the
department code must be assigned to a group before you can allocate a product to the department.
NOTE:
Department number zero may be used for items which do not require a department, for example,
qualifiers.
VAT Code:
Enter the code to indicate the VAT rate (A-F) for this product.  The VAT rate codes are set up
in System Parameters.
Price Level 1 - 4: Up to four different selling prices may be entered for the item.  For example, Price 1 may be
the regular selling price, Price 2 and 3 may be the Happy Hour selling prices, and Price 4 may
be the VIP price.  The price the terminal will implement depends upon the price level set in the
Special Prices and Till Parameters functions.
NOTE:
The price level the system will implement is identified at server entry and will not change until the
next time a server number is entered.  For example, if a Happy Hour is currently running, the Happy
Hour price band will be in use.  However, if the Happy Hour period ends during the transaction entry
the normal prices will be reinstated when the next server signs on, not in the middle of the Happy
Hour transaction.
Discountable:
This flag is used to enable or disable an item or subtotal discount on the product.  Press the
SPACEBAR to set the discountable flag to YES or NO.  Press ENTER to confirm the selection
and move onto the next field.
Commission
Group:
Enter the code, 1-50, which identifies the commission group to which the product is assigned.
A zero may be entered in this field, to indicate that this product is not assigned to any commission
group. (Not Available at present)

Price Flag: Press the SPACEBAR until the price flag required is displayed.  Press ENTER to confirm the selection
and move onto the next field.  Available price flags are:-
Preset
When the product is registered at the terminal, the item is sold according to the relevant
price level.
Non-Priced
A product with no selling price set.  This could be used to force the server to enter the price
at the terminal when the item is sold.
Price-Check The price (according to the relevant price level) is displayed when the product is registered
at the terminal.  The server must confirm that the price is correct, or enter a new price.
Type:
Press the SPACEBAR until the product type required is displayed.  Press ENTER to confirm the
selection and move onto the next field.  Available product types are:-
General
General product.
Extra
Extra portion.  Please note that products set as extras are chargeable if a price has been set.
Condiment
Used only for the main product of a condiment.  The List for Condiment must also be set
(see field description below).
Qualifier
Cooking method or instructions, zero priced.
Dummy
Used to allow a condiment item to be selected separately, usually a dessert.  This item must
be on two menu lists; one which includes the main product of the condiment and the other
as the only item on the list (with the minimum and maximum items set to one).  This second
list must be one of those linked from the "chain" of lists started by the main product of the
condiment.  The dummy item does not have a dispense printer set and is zero priced.
Analysis:
Press the SPACEBAR until the analysis print category is displayed.  Press ENTER to confirm the
selection and move onto the next field.  Available print analysis categories are:-
Starter
Starter dish.
Main
Main course dish.
Dessert
Dessert.
Other food
Other available food items.
Drinks
Drinks.
Other product Any other product type.
Order
Input of the dispense printer.
Printer 1 - 3: You may specify up to three dispense printers on which an order for the product will be
printed.  At least one dispense printer should be specified for each product which is to be
printed.  To identify a dispense printer, enter the number of the printer, 1-9.  A zero means
that no dispense printer is required.  For example, if this item is to be printed on one dispense
printer, enter the number of the printer in field one, and enter zeros in the remaining two
fields.
NOTE:
If the first printer specified is busy, then this item will be printed on the next available printer specified.
